Your Role at PropFolio
We are seeking a Lease Compliance & Collections Specialist to lead delinquency management and lease compliance across our residential and commercial properties. This is a key role within the Leasing Department with responsibility for safeguarding cash flow by maximizing rent collections and minimizing delinquency through disciplined portfolio oversight, proactive tenant engagement, and strategic negotiation.
The Lease Compliance & Collections Specialist achieves win-win resolutions through the structured use of incentives and legal tools to collect past-due balances while preserving tenant relationships. The successful candidate will combine operational precision with emotional intelligence to understand tenant circumstances, build trust, and influence tenant behavior while upholding company standards for professionalism, respect, and fairness.
In This Role You Will
Engage, Negotiate, and Resolve

Review and update the Delinquency Report daily to identify and prioritize accounts requiring action, while following-through on each case.
•
Conduct professional and empathetic outreach to delinquent tenants primarily via phone and email to recover outstanding balances and reduce eviction-related costs.
•
Apply consultative persuasion techniques to understand each tenant's situation, uncover constraints, and co-develop tailored repayment strategies, such as:
Short-term repayment plans or installment schedules.
Partial payment arrangements with follow-up auto-payment setup.
- Temporary deferral plans with defined reinstatement conditions.
- Incentive-based settlements (e.g. fee waivers for lump-sum payment).
- Legally binding payment stipulations approved by counsel.
- Demonstrate persistence, empathy, and professionalism in every interaction, maintaining trust while achieving payment commitments.
Post Late Fees and Serve Legal Notices:
• Issue late payment reminders, apply fees, and maintain accurate records of payment history.
• Issue 3-Day Notices and other statutory communications in compliance with Florida landlord-tenant law.
• Protect ownership interests by collaborating with Legal Counsel to coordinate next steps-ranging from stipulations and settlements to eviction proceedings.

Rent Collection and Lease Compliance:
Oversee the monthly rent roll, ensure accurate recordkeeping in PropFolio, and maintain complete, compliant documentation aligned with company policies and regulations.
Reporting, Analysis, and Collaboration:
Prepare regular reports on delinquency and payment trends, recommend preventive actions with Accounting and Management, and foster a collaborative, accountable, and continuously improving team culture.

What We Look For
Experience & Background:

3-5 years of professional experience in collections, delinquency management, customer relations, or other roles requiring strong negotiation, problem-solving, and client engagement skills. Familiarity with leasing or tenant relations is preferable but not required.

Bilingual proficiency in English and Spanish is required.
·
Experience working in a fast-paced, customer-facing environment that requires strong attention to detail, multitasking, accuracy, and clear documentation practices.
·
Proven ability to manage time-sensitive tasks, coordinate across departments, and maintain high standards of accuracy and organization to drive results.
·
Eagerness to develop subject-matter knowledge in property management through training and hands-on experience.
·
Prior experience supporting U.S. based clients or business environments is a plus.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications. Comfortable navigating digital tools and platforms, such as CRMs, workflow systems, document management tools, or communication software.
Education:

Education Level/Degree: Bachelor's Degree ideally in Business Administration, Communications, Hospitality, or a related field.

Ongoing on-the-job training will be provided to support onboarding and development.
